Guest check-in and table lookup

Check-in is GuestQR's core flow, and it's free on every event.

How guests check in

  • Scan the QR code at the entrance
  • Search for their name
  • Tap it — they're checked in, and if you assigned tables, they see "You're at Table X"
  • The whole thing takes seconds. No clipboard line, no printed chart crowd.

    What you see as the organizer

    The Guests tab shows a live list with check-in status, and your event Overview shows the arrival count climbing in real time during the event.

    Table assignments

    Add a table to each guest (by hand or in your CSV import). Guests only ever see their own assignment, not the full seating plan. You can change tables any time — even mid-event — and lookups update instantly.

    What if someone isn't on the list?

    At guest-list events, someone who isn't on the list will be asked to see the organizer — you can add them from the Guests tab in seconds. If you'd rather let anyone join, make the event an open event instead.

    Is check-in required?

    No. Guests can skip straight to photos or the guest book (on Premium events). But check-in is how guests get their table, how you count arrivals, and how thank-you emails know who actually came — so we recommend keeping it front and center.
