The QR code only works if guests actually see it. Placement matters more than design.
The placements that work best
A welcome sign at the entrance — an easel with "Scan to check in" catches every guest at the exact moment they need itOne card per table — guests sit down, see the card, and upload the photos they just took; this is where most gallery uploads come fromThe bar and the dance floor — high-dwell areas where guests have their phones out anywaySend the link ahead — text or email the guest link the morning of the event so early birds check in from the car
Print tips
Print the QR at at least 3 × 3 cm (1.2 in) — bigger for posters guests scan from a distanceKeep strong contrast: dark code on a light background scans fastestAdd three words of instruction ("Scan to check in" / "Share your photos") — codes without context get ignoredTest a print at arm's length and from a few steps away before printing the batch
During the event
Ask your MC or DJ to mention it once: "Everything you photograph tonight — scan the code on your table and share it with the couple." One announcement typically doubles uploads.
